Summary
Three points to use.
- Keep agency fees, platform spend, creative production, software, taxes, and other charges separate.
- Define what campaign strategy, setup, monitoring, creative, landing-page work, tracking, and reporting the fee includes.
- Keep the client as the owner of the ad account and payment visibility wherever practical.
Define the agency fee
The agency fee may cover research, campaign strategy, account review, setup, copy, design coordination, launch checks, monitoring, budget controls, analysis, meetings, and reporting. It does not automatically include every activity connected to the campaign.
Define the advertising spend
Ad spend is the amount authorised for platform delivery. Record the planned amount, currency, payment method, billing account, taxes or platform charges, budget schedule, approval thresholds, and the person allowed to change it.
List costs that may sit outside both
Photography, video shoots, creators, talent, locations, stock assets, landing-page design and development, analytics tools, call tracking, feed tools, and third-party integrations may be separate. The proposal should identify each expected dependency and whether the amount is fixed or estimated.
Understand the management fee model
A supplier may charge a fixed monthly fee, a percentage of spend, a fixed project fee, a hybrid, or another agreed model. Evaluate whether the model provides enough work and oversight for the account while avoiding incentives that conflict with the business decision.
Approve one transparent campaign budget
Request a budget summary showing agency work, platform spend, production, tools, taxes, contingency, payment timing, account ownership, change approval, unused amounts, reporting, and cancellation. A clear budget lets the team change one component without confusing the rest.
